Operations Coordinator
description Job Description & Requirements
The Operations Coordinator is a fast-paced, multi-faceted position serving as a central hub of coordination for our Digital Systems team. In this dynamic, high-visibility role, you will interface daily with internal departments, external customers, and key vendors to drive efficient operations and project progress. Primary responsibilities include managing the team inbox and work queues, handling daily administrative tasks and customer inquiries, assisting with expense reports, and maintaining accurate records within our D365 CRM. Additionally, you will proactively engage with partners to document customer product configurations and manage complex pre-sales quote workflowsâfrom initial request and order fulfillment through training delivery and post-sale follow-up.
As a master communicator and organizer, you will facilitate seamless handoffs and clear updates across Sales, Operations, Applications Engineers, Digital Product Experts, Contracting, Service, and Accounting. You will design and maintain simple tracking tools, checklists, and status reports to give leadership full visibility into queue health, response times, and overall throughput. By taking ownership of routine workflows, routine problem-solving, and cross-departmental alignment, you ensure no task slips through the cracks and every customer request moves swiftly toward completion.
